Minimum Qualifications & Requirments
Minimum education of high school diploma and two years of college in Early Education or a related field. Must have or be willing to obtain North Carolina Child Care Credentials. Experience teaching and/or managing programs for school age children and supervising staff.
Responsibilities
- Itinerant Program Coordinators will fill in for the After School Program Coordinator and Group Leader absences across the school district. He/she will perform all the regular duties of the Program Coordinator including assisting their homebase Program Coordinator with his/her duties as requested.
- Learns, follows, and enforces all policies and procedures of the after school program, all applicable school policies and procedures, and all applicable child care licensing requirements and ensures all affected persons (staff, students, parents, volunteers, etc.) know and understand these policies and procedures.
- Itinerant After School Program Coordinators are required to work at Hardin Park Elementary School during the operation of the Holiday/Snow Day program when schools are closed due to inclement weather. He/she will be responsible for completing paperwork required for the operation of the Holiday/Snow Day program, including menus, attendance, and activities.
- When corresponding with children, individual must be able to speak with them face-to-face, treat them with respect, listen to what they say, and make them feel welcome and comfortable.
- Supervises group leaders and volunteers to ensure active supervision of students, good implementation of activities, and a safe, healthy, well organized program. Ensure safe and appopriate student behavior. Directly performs duties of group leaders as circumstances require. Checks and approves time sheets, provides orientation for new staff as needed, conducts performance evaluations of group leaders and other on-site staff.
- Plans, reports, and implements activities for the after school program.
- Ensures accurate and timely reporting of attendance and activities.
- Report all accidents/incidents requiring medical attention to the Director of Student Services and After School within 24 hours. Individual is also responsible for reporting any accident or incident that requires parent or guardian contact.
- Advises supervisor of issues, concerns, and suggested improvements in the after shcool program.
- Purchases snacks, equipment, and first aid supplies as needed and ensures the appropriate use of those items.
- Establishes and maintains good communications and good working relationships with students, parents, Central Office staff, school administrators and other staff, group leaders, and volunteers. Maintains the After School webpage for his/her school. Creates and distributes a quarterly newsletter for parents according to SACERS standards.
- Presents information about the after school program at Kindergarten Orientation and other parent/community events at the school.
- Registers students for the program, including providing an opportunity to review the "Parent Policy and Information Handbook," and providing parents with a copy of the Parent Handbook and North Carolina Child Care Licensing Laws. Ensures that online registrations are filled out completely and all necessary information about a student is provided before allowing the child to participate in the program. Receives a signed statement for each registered student from their parent/guardian acknowledging receipt of all required registration information. The program coordinator collects and submits payment for the first month in advance of attendance. Individual will provide documentation in a timely manner to the Central Office to establish, terminate, or change the billing as needed. The program coordinator is also responsible for suspension of students for non-payment of fees.
- Itinernant Program Coordinators are responsible for record keeping, inspection rules and regulations with regard to fire and safety drills, storing and serving snacks, ensuring meal pattern requirements are met and fiscal management of the after school program in his/her assigned school. Responsible for providing monthly snack menus and orders to obtain and provide snack to children at their center on a daily basis. Monthly snack menus must be posted and followed or updated as changes occur.
- Ensures that all school space and equipment used by the program is cleaned and left in the same or better condition as beofore the after school program.
- Ensures compliance with the requiremenes of the North Carolina law(s) regarding the reporting of suspected child abuse or neglect. Maintain strict confidentiality about this information.
Work Hours
The regular work hours for Itinerant After School Program Coordinators are Monday through Friday, 1:30pm - 6:00pm on school days. Additional hours may be required for meetings, training, scheduled early release days, and other special situations.
